UK lone worker monitoring ranges from free informal call-ins, through app subscriptions at a few pounds or dollars per user per month, to enterprise ARC packages often priced far higher with multi-year contracts. Price the total — devices, ARC fees, training, and admin — not only the headline per-user sticker.

The range is wider than most people expect

The cost of lone worker monitoring in the UK varies enormously. At one end, a manual call-in procedure where workers call the office at the end of each visit is effectively free, just management time. At the other end, enterprise platforms with ARC (Alarm Receiving Centre) backing, dedicated hardware devices, BS 8484 certification, and minimum contract commitments can run to hundreds of pounds per worker per year.

Most small and medium businesses with lone workers sit somewhere in the middle, and the most important question is not "what is the cheapest option?" but "what level of monitoring is proportionate to the risk, and what will that cost?"

The main pricing models

App-based monitoring with manager alerts is the most common model for small teams. Workers use a smartphone app to start and end sessions. Missed check-outs and SOS events trigger alerts to managers by email and push notification. Pricing is typically per user per month, ranging from roughly £3 to £15 per user per month depending on the provider and feature set. No hardware is required. Setup is same-day. Most are available on monthly or annual billing with no multi-year commitment.

ARC-backed services add a 24/7 Alarm Receiving Centre that receives alerts and responds to them by calling the worker, contacting emergency contacts, or alerting emergency services. These services typically cost more per user per month and are often sold on annual contracts with minimum user counts. ARC services make sense for specific situations (out-of-hours working with no manager available, high-risk roles requiring emergency dispatch capability), but most small businesses do not need them.

Dedicated lone worker devices are hardware devices, sometimes resembling a personal alarm or a small rugged handset, that replace the smartphone app. They are typically paired with ARC monitoring and are often sold on device + service contracts. Hardware costs add a one-off expense per worker. These are common in utilities, security, and some public sector contexts. They are not typical for care agencies, estate agents, or charities.

Manual call-in procedures cost nothing in software but require management time to track. Someone has to watch for calls and follow up on missed ones. They also generate no exportable records, which creates a gap when inspectors or insurers ask for evidence. For very small teams with predictable working patterns and a dedicated person who can monitor consistently, a manual procedure may be adequate. For most organisations, the evidence gap becomes a problem.

What drives cost within the app category

Within the app and manager-alert category, the main factors that drive price up are: ARC integration, which adds significant cost whether or not you use it; minimum user counts that price you as if you have a larger team than you do; multi-year contract terms; dedicated account management and onboarding; and additional feature sets designed for enterprise use cases (integrations with enterprise HR systems, custom API access, advanced reporting dashboards).

If your team does not need these features, you are paying for them.

What small teams actually need

For a domiciliary care agency with 10–30 workers, an estate agent branch with 5–15 staff, or a charity outreach team of any size, the core requirement is: workers can start and end sessions from their phone in seconds; managers receive email and push alerts when check-outs are missed; SOS raises an immediate alert; escalation goes to a backup manager automatically; and records are exportable for CQC, HSE, or insurance purposes.

This set of features does not require an ARC or enterprise pricing. It is available at the lower end of the per-user cost range without a multi-year commitment.

A note on insurance

Some employers ask whether lone worker monitoring affects their insurance premium. The answer varies by insurer and policy. A few insurers offer reductions for documented lone worker monitoring processes, particularly in care and housing. Most do not change the premium but do require evidence of proportionate controls if a claim is made.

Check your actual policy wording rather than assuming either way. Having records is almost always required by the policy even if the premium does not change.

Total cost of ownership

When comparing options, include onboarding time, training time, and ongoing admin. A platform that takes a day to set up, requires minimal training, and needs no ongoing administration beyond adding or removing users costs less in total than a cheaper-per-head platform that requires significant setup, regular manual record exports, or management of hardware inventory.

For a team of 15 workers, the difference between a platform that takes an afternoon to set up and one that takes two weeks of IT involvement is often larger than the per-head monthly cost difference.
