1. Who We Are
TapOkie Work ("we," "our," or "us") is a lone worker safety platform operated by Lynkobyte. It includes the TapOkie Work manager dashboard, the TapOkie Work mobile app for workers, and related services at https://work.tapokie.com. This policy describes how we collect, use, store, and protect personal data when you use TapOkie Work as an organisation administrator, manager, or worker.
TapOkie Work is separate from the consumer TapOkie personal check-in app. For privacy questions, contact support@tapokie.com.
2. Roles and Responsibilities
TapOkie Work is a business service used by organisations to monitor lone worker safety. Depending on your role:
- Organisation administrators and managers create accounts, configure teams, receive alerts, and access reports through the manager dashboard.
- Workers use the TapOkie Work mobile app to start and end visit sessions, extend timers, and trigger SOS when needed.
Your organisation is responsible for telling workers why their data is collected, which managers receive alerts, and for meeting its own employment and data-protection obligations. TapOkie processes data on the organisation's instructions to provide the service.
3. Data We Collect
We collect data needed to operate TapOkie Work, including:
- Organisation data: organisation name, industry, timezone, website, billing contact, and configuration such as default session timers and escalation settings.
- Manager and admin accounts: name, email address, role, login credentials, and dashboard activity needed for security and audit logs.
- Worker accounts: name, email address, team assignment, account status, and login credentials created by the organisation.
- Session and safety data: session start and end times, timer duration, extensions, location labels, session status (including missed check-outs and SOS events), and location coordinates captured when a worker starts or ends a session or triggers SOS, if location permission is granted on the device.
- Alerts and escalations: missed check-out and SOS events, acknowledgement status, escalation steps, and related timestamps.
- Notifications: push notification tokens and device platform information for worker app notifications and browser push subscriptions for managers.
- Reports and exports: data included in audit exports, scheduled reports, compliance certificates, and quick-glance board links created by the organisation.
- Technical data: IP address, browser or app version, and operational logs used for security, troubleshooting, and service reliability.
4. How We Use Data
We use data to:
- Provide the manager dashboard and worker app.
- Record visit sessions and detect missed check-outs or SOS events.
- Send alerts and escalations to configured managers by email and browser push.
- Generate audit-ready reports, exports, and compliance certificates.
- Operate quick-glance read-only board links created by the organisation.
- Send service, security, and optional weekly digest emails.
- Bill the organisation and manage subscriptions.
- Improve, secure, and support the service and comply with law.
5. Legal Basis (EEA/UK)
Where required by law, we process personal data on the basis of: (a) contract - to provide the service your organisation signed up for; (b) legitimate interests - for security, fraud prevention, service improvement, and alerting managers to potential safety incidents, where those interests are not overridden by individual rights; and (c) consent - where you have given consent, such as enabling optional browser push notifications or device location permission on the worker app.
6. Who We Share Data With
- Within your organisation: managers and administrators authorised by the organisation can access worker status, alerts, session history, and exports according to their role.
- Service providers: hosting, email delivery, push notification services (such as Firebase Cloud Messaging), and other infrastructure providers that process data on our instructions under appropriate safeguards.
- Authorities: where required by law, court order, or to protect rights and safety.
We do not sell personal data.
7. International Transfers
Your data may be processed in countries outside your residence. Where we transfer data from the EEA or UK to countries not deemed to provide adequate protection, we use appropriate safeguards (such as standard contractual clauses) as required by law.
8. Retention
We retain organisation, manager, worker, session, and alert data while the organisation remains an active customer and as needed to provide the service. Organisations can export audit history before cancellation. When a worker is deactivated, new sessions stop, but historical records may remain in the organisation's exportable history unless deletion is requested in line with our data retention policy and legal obligations.
9. Security
We use industry-standard measures to protect data, including encryption in transit and access controls. Organisations and users are responsible for keeping passwords and devices secure. We will notify affected parties and regulators where required if a breach affects personal data.
10. Your Rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or port your personal data, object to certain processing, withdraw consent, or complain to a supervisory authority.
Workers and managers should contact their organisation first for workplace data requests. You may also contact us at support@tapokie.com. Organisation administrators can deactivate workers, export records, and manage dashboard access from the manager dashboard.
11. Children
TapOkie Work is a workplace service intended for use by organisations and their staff. It is not directed at children. Organisations must not assign accounts to individuals below the minimum working age applicable in their jurisdiction.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page and update the "Last updated" date. For material changes, we may notify organisation administrators by email or through the dashboard.
