Terms and Conditions

Please read these terms before using TapOkie Work.

1. Acceptance of Terms

By creating an organisation account, using the TapOkie Work manager dashboard, downloading or using the TapOkie Work worker app, or otherwise accessing our business services ("Services"), you agree to these Terms and Conditions ("Terms"). If you do not agree, do not use the Services. We may update these Terms from time to time; continued use after changes constitutes acceptance. For material changes, we may notify organisation administrators by email or through the dashboard.

2. The Service

TapOkie Work provides:

  • A manager dashboard for organisation administrators and managers.
  • A mobile worker app for field staff added by the organisation.
  • Timed visit sessions with missed check-out detection and SOS alerts.
  • Manager alerts by email and browser push, with configurable escalation.
  • Audit-ready reports, exports, and compliance certificates.

The worker app cannot be used without an organisation account created on the manager dashboard. The consumer TapOkie personal check-in app is a separate product and is not covered by these Terms.

3. Not Emergency Services

In a life-threatening or medical emergency, call your local emergency number (e.g. 999 in the UK or 911 in the US) immediately. TapOkie Work does not contact emergency services, police, ambulance, or a third-party alarm receiving centre (ARC). SOS and missed check-out alerts notify only the managers configured by your organisation. We do not guarantee that alerts will be seen, acknowledged, or acted on in time.

The Services are a monitoring and record-keeping tool to help organisations manage lone worker safety. They are not a substitute for emergency services, medical care, or a formal lone worker policy.

4. Accounts and Roles

Organisation administrators register the organisation, configure settings, add workers and managers, and are responsible for billing and lawful use of the Services.

Managers receive alerts, review the live board, acknowledge incidents, and access reports according to permissions set by the organisation.

Workers use the TapOkie Work app only after being added by their organisation. Workers must use their assigned credentials and follow their employer's workplace policies.

5. Organisation Responsibilities

If you register an organisation, you agree to:

  • Provide accurate organisation and billing information.
  • Ensure you have authority to add workers and managers and to process their data for lone worker monitoring.
  • Inform workers that the service is used and which managers receive safety alerts.
  • Maintain appropriate lone worker policies, training, and emergency procedures beyond the software itself.
  • Use the Services lawfully and not for harassment, unlawful surveillance, or false alerts.
  • Keep account credentials secure and deactivate workers who should no longer have access.

6. Worker App Requirements

Workers need an internet connection to start and end sessions. Location permission is used when starting or ending a session or triggering SOS, if enabled on the device. Notification permission is recommended so workers receive session-related alerts. Offline session queueing may not be available in all versions of the Services.

7. Subscriptions and Billing

TapOkie Work is billed monthly per active worker unless otherwise agreed in writing. Subscriptions are described on our pricing page and in your organisation account. Unless stated otherwise, there is no long-term lock-in; you may add or remove workers and cancel in accordance with your billing settings.

Fees are exclusive of applicable taxes. Failure to pay may result in suspension of access to the dashboard and worker accounts.

8. Data and Audit Records

Organisations may export session and alert history for compliance and inspection purposes. You are responsible for how exported records are stored and shared after download. Our handling of personal data is described in our Privacy Policy.

9. Intellectual Property

TapOkie Work, including the dashboard, worker app, software, design, and content, is owned by us or our licensors and protected by intellectual property laws. You may use the Services only for your organisation's internal business purposes in accordance with these Terms. You may not copy, reverse engineer, resell, or create derivative works from the Services without our prior written permission.

10. Disclaimers

The Services are provided "as is" and "as available" without warranties of any kind, express or implied. We do not guarantee uninterrupted operation, error-free alerts, complete mobile coverage, or that incidents will be prevented or resolved.

11. Limitation of Liability

To the maximum extent permitted by applicable law, TapOkie and its affiliates, officers, employees, and licensors shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or for loss of profits, data, contracts, or goodwill, arising from use of the Services. Our total liability for claims relating to the Services shall not exceed the fees paid by your organisation in the twelve (12) months before the claim. Some jurisdictions do not allow certain limitations; in those cases our liability is limited to the maximum extent permitted by law.

12. Indemnification

Organisations agree to indemnify and hold harmless TapOkie and its affiliates, officers, directors, employees, and agents from claims, damages, losses, and expenses (including reasonable legal fees) arising from the organisation's use of the Services, its workers' or managers' use of the Services, violation of these Terms, or violation of applicable law or third-party rights.

13. Suspension and Termination

You may cancel your organisation subscription in accordance with your billing arrangements. Before cancellation, you should export any records you need. We may suspend or terminate access if fees are unpaid, these Terms are breached, or for operational or legal reasons. Upon termination, access to the dashboard and worker accounts ends according to our data retention policy. Sections that by their nature should survive will survive termination.

14. Governing Law and Disputes

These Terms are governed by the laws of England and Wales, without regard to conflict of law principles. Courts in England and Wales shall have exclusive jurisdiction, except where mandatory consumer or employment protections in your country require otherwise.
